A well-written letter is one of the most effective ways to make your voice heard. Keep your message to one issue per letter, and be specific about how legislation affects your business and employees. Open with a clear statement of your position, provide a brief real-world example, and close with a specific request — whether that is a vote, a co-sponsorship, or a meeting.
Address your letter appropriately for the body you are contacting. For the U.S. House, use "The Honorable [Name], U.S. House of Representatives." For the U.S. Senate, use "The Honorable [Name], United States Senate." For the Indiana House or Indiana Senate, use "The Honorable [Name], Indiana State House" or "Indiana State Senate." Always include your return address so staff can confirm you are a constituent.
Phone calls are tracked and tallied by legislative offices, making them a powerful advocacy tool. Before you call, write down two or three key points you want to make. When the phone is answered, identify yourself as a constituent, state your city, and ask to speak with the staffer who handles your issue area.
If you reach a staffer rather than the legislator, that is normal and productive — staffers brief legislators directly. State your position clearly, reference a specific bill number if possible, and ask for the legislator's current stance. Be polite and thank them for their time. Follow up with a brief email summarizing your call so there is a written record.
